Do my customers need to download an app?
No. Customers scan the QR code at their table with their phone camera and the menu opens instantly in their browser. No download, no login, no friction — just tap and order.
How does the QR code work?
Each table gets a unique QR code tied to your venue. When a customer scans it, their digital menu opens in the browser and their order goes straight to your staff. You generate and download the codes from your dashboard — print them yourself or order branded QR cards from us.
What do I need to run the Station Screen?
Any screen with a web browser — a tablet, a spare phone, a monitor, or a smart TV at your service point. Most venues already have something that works. Open the Station Screen URL on it, leave it running, and every new order appears instantly with an audio alert.
Can Virtual Waitress work without Wi-Fi?
The menu needs an internet connection to load and for orders to reach your staff. A stable 3G or 4G mobile connection is enough in a pinch, but we recommend Wi-Fi at your venue for reliability — especially during busy periods.
How do waiters receive orders?
Orders appear instantly on the Station Screen at your service point. Waiters can also receive alerts on their own phones if you choose to enable that. Each order shows the table number, the items, and any notes from the customer. One tap marks it Preparing; another marks it Served.
Can I update my menu in real time?
Yes. Log in to your dashboard from any device, make your changes, and they go live immediately. Mark items sold out, change prices, add a new dish, or reorganise categories — all without reprinting anything.
How long does setup take?
Most venues are live within an hour. Add your categories and menu items, generate your QR codes, print and place them on each table, and you're ready. We can help you migrate from an existing paper menu using our scan feature.
How do I get my QR codes?
Your QR codes are generated automatically in the dashboard under the QR Codes section. Download them and print them yourself, or order professionally printed QR cards from us — table-ready and branded to your venue.
What happens when my free trial ends?
After 14 days, your account moves to a restricted state. Your menu and all your data are preserved — subscribe to a paid plan to reactivate full access. No charges are made during the trial and no card is required to start.
Can I cancel anytime?
Yes. Cancel from your dashboard at any time. Access continues until the end of your current billing period. No early-cancellation fees, no penalties, no questions asked.
Can I use Virtual Waitress across multiple locations?
The standard Pro plan covers one venue. If you operate multiple outlets, talk to us about our custom plan — we offer tailored pricing and consolidated management across locations. Email support@virtualwaitress.com to discuss.
What payment methods do you accept?
We accept card payments and bank transfers via Paystack. If you need a different payment arrangement, contact us at support@virtualwaitress.com.
